At Akoya Hotels, we understand that travel plans can sometimes change unexpectedly. We strive to offer clear and fair cancellation policies while also ensuring the smooth operation and availability of our rooms for all guests. Please carefully review the policy applicable to your booking type.

  • Free Cancellation Window: Guests booking our Standard Flexible Rate can cancel their reservation free of charge up to 48 hours prior to the scheduled check-in time (2:00 PM IST) on the arrival date.
  • Late Cancellation Fee: If a cancellation is made within 48 hours of the scheduled check-in time, a cancellation fee equivalent to one night’s room rate plus applicable taxes will be charged.
  • No-Show Policy: In the event of a “no-show” (guest does not arrive and has not cancelled the reservation), the full cost of the first night’s stay plus applicable taxes will be charged to the credit card on file, and the remainder of the reservation will be cancelled.

  • Payment & Cancellation: Bookings made under a Non-Refundable Rate are charged in full at the time of booking and are non-refundable regardless of when the cancellation is made or if the guest does not show up.
  • Benefits: Non-Refundable Rates typically offer a discounted price in exchange for this strict cancellation policy.
  • Changes: No amendments or modifications are permitted for Non-Refundable Rate bookings.

  • Definition: A group booking is defined as a reservation of five (5) or more rooms under a single booking.
  • Cancellation Window: Group cancellations must be made at least 14 days prior to the scheduled check-in date to avoid charges.
  • Cancellation Fee:
    • Cancellations made between 7 and 14 days prior to check-in will incur a charge of 50% of the total booking value.
    • Cancellations made less than 7 days prior to check-in, or in case of a no-show, will incur a charge of 100% of the total booking value.
  • Deposit: A non-refundable deposit may be required at the time of booking for group reservations. Specific terms will be outlined in your group booking contract.

  • Applicability: During designated peak seasons, holidays, and special event periods (e.g., Diwali, Christmas & New Year, major festivals, conferences), stricter cancellation policies may apply. These dates will be clearly communicated at the time of booking.
  • Cancellation Terms: Bookings during these periods may be subject to a non-refundable policy or a longer cancellation window (e.g., 7 days or more) to avoid full charges. Specific details will be provided during the reservation process.

  • Online Bookings: For reservations made directly on the Akoya Hotels website, you can typically cancel or modify your booking by logging into your account or using the “Manage My Booking” link provided in your confirmation email.
  • Third-Party Bookings: If you booked through an Online Travel Agent (OTA) or another third-party website (e.g., Booking.com, Expedia, MakeMyTrip), please contact them directly to cancel or modify your reservation. Their specific cancellation policies will apply.

  • Processing Time: Eligible refunds will be processed within 7-10 business days from the date of cancellation.
  • Refund Method: Refunds will be issued to the original method of payment used for the booking. We are unable to process refunds to a different account or card.

  • In case of an early departure, retention charges equivalent to the balance unutilized room nights may be levied. No amount will be refunded or carried forward by the hotel for early check-outs unless otherwise specified in your booking terms.

  • Akoya Hotels reserves the right to waive cancellation fees in exceptional circumstances, such as natural disasters, government-imposed travel restrictions, or other unforeseen events beyond the control of the guest or the hotel (Force Majeure). Such cases will be handled on a case-by-case basis and may require supporting documentation.

  • All cancellation times are based on the hotel’s local time zone (Indian Standard Time – IST).
  • It is the guest’s responsibility to understand the cancellation policy applicable to their specific booking.
  • We strongly recommend considering travel insurance, especially for non-refundable bookings or during peak travel periods, to protect against unforeseen circumstances.
